Bank Accounts

The bank accounts are created on this screen. The system can track up to 999 bank accounts. Above the Register Number the status of the selected register is indicated. Possible status messages are Active Register, Inactive Register, or New Register.

It would be advisable to create a "bank account" for Cash On-Hand. This would allow entry of Cash received but not deposited on the donation entry screen. It would also allow entry of Cash spent on the expense entry screen.

Register Number:Enter a number from 1 to 999. To create a new register enter a new register number and then press Ctrl-N, click on the New toolbar button, or select New from the File menu.  
 
Bank Name:Enter the name of the bank and any additional description to distinguish this account from other bank accounts.  
 
Bank Account Number:Enter the bank account number. This isn't used by the system.  
 
G/L Account:Enter a general ledger asset account number. Each bank register is tied to a general ledger asset account. The register number will appear the 'owner' of the asset account to which it is tied.  
 
Next Check Number:The system gets the next check (withdrawal) number from this field.  
 
Next Deposit Number:The system gets the next deposit number from this field.  
 
Last Reconciled Balance:This is updated by the system as the bank account is reconciled to the bank statement.  
 
The Delete function changes the bank account's status from Active to Inactive or Inactive to Active. Inactive accounts can be used but do not appear in the search lookups of the bank accounts. Using an inactive account will trigger an alert during entry.
